OVERVIEW
The Commonwealth was introducing a new debt management system built on Microsoft .NET. Due to the system’s complexity, they required more than 30 hours of e-learning to support new starters and provide refresher training for existing staff. The programme consisted of over 60 modules combining foundational knowledge with interactive, scenario-based learning. The content needed to explain complex processes clearly while also demonstrating how the system would be used in day-to-day work for a variety of different teams and roles.
ACTION
We began by reviewing several representative modules to design a consistent set of slide templates and development standards. We also established an efficient workflow with the subject matter expert so content could be shared in a structured format that was easy for the development team to interpret and build. Each module included interactive simulations created from narrated videos and draft PowerPoint slides containing initial screenshots. We transformed this material into detailed storyboards, then captured new high-resolution screenshots and screen recordings from the live system. To manage the scale of the project, we developed a bespoke tracker for both internal teams and the client. This centralised progress updates, review links and key information for every module, helping streamline collaboration and avoid delays. We also resolved technical constraints such as limited screen size by implementing JavaScript that automatically launched the modules in full-screen mode.
IMPACT
Establishing clear processes and communication with the subject matter experts was essential due to the scale of this project. Over the course of this project, these workflows significantly improved overall efficiency. By the end of the project, module production time had been reduced by 75%, allowing the team to deliver a large volume of high-quality learning within an ambitious timeframe. The full programme was completed on schedule and within budget, providing the Commonwealth with a comprehensive training resource to support the rollout of the new system.
